The company should be registered under EPF 1952, a savings scheme. This form has all the details regarding present and previous PF contributions.

This form has to be filled by a new employee provident funds organisation (EPFO) member while joining any organisation and also for existing EPFO members while switching to a new organisation. Previously separate EPF form 13 was filled for transferring PF account but now it can be done by EPF form 11 declaration only.

Significance of EPF Form 11

  • Mandatory for individuals – It helps existing EPF members avail of the new Member ID along with the availability of services of EPF schemes.
  • Easy transfer of previous PF contributions – Another form (Form 13) has to be filled out to transfer the previous PF contribution. However, the new EPF Form 11 allows a smooth experience with one single form to get a new Member ID and transition previous PF contribution data.
  • Excluded employees – Employees with a base salary above 15000/- and working with an organisation having more than 20 employees are allowed to exclude themselves from the scheme. Along with these employees, people who have withdrawn PF earlier or people receiving PF pensions are ‘excluded employees’.

The structure of EPF form 11 is  divided mainly into seven parts mentioned below:

  • Employee details
  1. Name of the member
  2. Name of Father or Spouse
  3. Birth date
  4. Gender
  5. Email ID  & Mobile No.
  6. Membership status of the Employees’ Provident Fund Scheme, 1952 

(If you have PF membership in any previous employment then-YES; If you are working as an employee for the first time then-NO)

Submission of EPF Form 11 

The newly joined employee should submit the form to the employer. Further, the employer verifies the KYC documents and details, completes the declaration, and signs the form. Now, employers have to submit this form to the regional EPF office.

Form 11 can also be processed digitally if the employee has UAN details.

What is the employer’s responsibility?

  • Mandatory filing of EPF Form 11

The employer should take due care of getting the EPF form 11 filled by the newly joining within one month of new joining. Further, in 25 days, these details should be uploaded on the EPF portal.

  • UAN details

The employer has to share the UAN details with all the fund members in 15 days. The employee should be informed about the same.

  • KYC details

The KYC documents and details should be verified by the employer. The Aadhar number, PAN, and bank account details should be checked. 

  • The pre-check

The claim forms, KYC details, member details, and previous employer details should be filled out by employees. Before submitting, the employer should check all the information.
